Import your clients

Bring your client list over from Mindbody, Jane, Vagaro, MassageBook, Noterro, SimplePractice, or a spreadsheet with a CSV file.

For: OwnersManagers

Export from your old system

Download your client list as a CSV file. Most systems have this under Reports or Clients, often called Export or Download. A spreadsheet works too: in Excel, Numbers, or Google Sheets choose Save as or Download → CSV.

The file needs a header row and, for each client:

  • First and last name (or one column with the full name)
  • An email address or mobile number, or both

It can also have a preferred name, date of birth, notes, and whether the client agreed to marketing emails or texts. Files can be up to 2 MB or 5,000 clients; split a bigger list into several files.

Import

Open Settings → Import (owners, admins, and managers):

  1. Choose the CSV file.
  2. Check the columns. Each one shows its first value and what it saves as. Common column names are matched for you; change any with the drop-down, or pick Leave out.
  3. Look over the counts and the first clients. Nothing is saved until you choose Import.

What happens to each row

  • New clients are added. Their email, phone, and date of birth are encrypted like every other client.
  • Already here: a row with the same email or mobile number as a client you already have is skipped and that client is left as it is. You can import the same file again safely.
  • Needs fixing: a row with no name, no email or mobile, an email or phone that is not valid, or a date of birth that cannot be read. After importing, Download rows to fix gives you those rows with a Problem column. Fix them and import that file.

Notes become the client's alert on their profile. A note that holds a phone number or email is left out. Marketing opt-ins are saved only for the channel the column names (emails or texts). Addresses are not saved on client records yet.

After importing

Imported clients get no message. They can sign in with their email or mobile number the next time they book. Each import is recorded in the audit log with counts only.
